TalkingPoint for GPs: delivering secure referral letter management

Serving nearly 14,500 patients, Church Street Practice, Wantage has 5 partners and 4 salaried GPs who are supported by three secretaries. The practice has been using TalkingPoint’s speech enabled workflow for General Practice since 2014.

The original impetus to implement TalkingPoint was to ease the administrative burden on the secretarial team who produce in excess of 200 letters a week.

TalkingPoint provides general practices with an immediate 'one stop shop' enabling the GPs to dictate referral letters and any other written correspondence. The secretary then picks up the letter in the TalkingPoint secretarial desktop system and processes it. The letter does not go back to the GP and so the double-handling of every letter, normally associated with the traditional dictation / transcription process, is entirely removed from the process.

Gill Koch, Information Manager, Church Street Practice, reports that letter quality has improved since the practice implemented TalkingPoint. “The turnaround time to produce letters is much better and I think speech recognition results in a better quality letter because the doctor can read and correct what they have dictated. When we used to use traditional dictation/transcription, a doctor might have wanted to rephrase something which delayed the letter going out as it would be sent back for alteration.

A key benefit of using TalkingPoint for letter production is that the process is more secure. Gill continues: “Using TalkingPoint is a much ‘safer’ procedure. We used to use dictation and tapes would not always be passed to the secretaries quickly or could even become mislaid. With TalkingPoint, the dictated text goes straight to the secretary, meaning there is far less room for error.”
